Auction Privacy Notice
This notice explains the information collected specifically for the Fremont Community Foundation online auction and how it is used.
Information collected
When a bid is placed, FCF records the bidder's full name, email address, phone number, bid amount, bid and consent timestamps, anonymous bidder code, confirmation number, browser description, and a one-way security hash derived from the connection address. The auction does not collect credit-card numbers.
How information is used
FCF uses bidder information to validate and administer bids, display an anonymous high-bidder code, send bid confirmations and outbid notices, contact the winner, collect payment through a separate secure service, fulfill the package, prevent abuse, resolve disputes, and maintain financial and auction records.
Public information
The public auction page displays only a randomly assigned bidder code, bid amount, bid count, and auction timing. It does not publicly display bidder names, email addresses, or phone numbers.
Sharing
FCF does not sell auction bidder information. Information may be provided to service providers involved in hosting, email delivery, payment, fraud prevention, accounting, or ticket fulfillment; to the package donor as reasonably necessary for scheduling; or when required by law or needed to protect FCF, bidders, or the public.
Retention and security
FCF retains auction records for the period reasonably needed for administration, accounting, tax, audit, dispute resolution, and legal compliance. Reasonable administrative and technical safeguards are used, but no internet system can guarantee absolute security.
Transactional communications
Placing a bid authorizes communications directly related to this auction. Auction contact information will not be added to an unrelated marketing list solely because a person placed a bid.
Questions or corrections
Contact Fremont Community Foundation using its regular public contact channel to request correction of bidder information. A correction request does not permit withdrawal of an otherwise valid binding bid.
